that, because we work with highly
confidential audio material every day of the week, such as
under caution police interviews and research interviews, we don't take
security or confidentiality lightly. Some of those
interviewees do not wish to be (or must not be) identified or specify during transcription
that their comments are 'off the record', and we adhere to that. |
How do we guarantee your
confidentiality?

All
digital audio received from
clients or sent to the teams for transcription are sent via
a secure, encrypted file transfer system;
-
A confidentiality
agreement is issued to clients (where requested/required) which covers
the whole of the team working here. Each transcriber signs an
agreement with Audiosec Limited that covers not only the time they
work with us but infinitum. They do not discuss the content of their
work with family, friends or over the telephone. All team members
restrict their comments to their fellow team members, and specifically
only to gain information to help them all work as one unit on
interviews to ensure continuity of style and accuracy of content only;

Analogue recordings are
converted here to digital format, for our transcription purposes but
also to provide our clients with copies of audio they can store on
their computer. These audio flies are kept for up to three weeks to
allow for further requests from clients (i.e. if they wish to have
further copies of the audio) and then are destroyed from our system
and those of the transcriber(s);

The intellectual
property rights remain with our clients for all audio and transcripts;

Each transcriber has had
to undergo a stringent audio transcription test process to ensure they
are able to provide accurate, verbatim transcripts (including dealing
with accents - domestic/regional and foreign) and shown their ability
to use their initiative and follow instructions to the letter. This
ensures our clients get the service they are paying for - confidential
and accurate, only processed by experienced, expert transcribers;

We NEVER sub-contract or
outsource our work to people outside of this business and thus ensure
the continuance of our confidentiality policy;

Interviews are returned
via normal email attachment to the email address we are provided by
the client. However, if requested, we are happy to send back Word
documents with a password facility that only the client and the
project manager for Audiosec Limited knows. We are also happy to send
back work via our secure file transfer system where the data is of a
legal or highly confidential nature and following a request from our
clients to do so.
